Instructions to authors for preparation of conference manuscripts

Please submit an electronic version of your paper via email to papers@ice.org.uk. It would be preferable if your paper could be supplied as both a PDF file and a word document.

The deadline for submitting papers is 6 June 2008.

Papers submitted later than 6 June 2008 will not be eligible for inclusion the final conference programme.

Length

Your text must be no more than no more than 10 pages of A4 paper including all tables and illustrations (approximately 5000 words), and produced according to the following requirements (you may wish to include your professional qualifications ).

Fonts

  • Main text: use Times New Roman set to 12 point (pt) type size.
  • Title and headings: use Arial (see below for type sizes).

Margins

Set 25 mm (1 inch) margins all sides if using European A4 paper (297 x 210 mm), or 15 mm (0.6 inch) margins top and bottom and 28 mm (1.1 inch) margins left and right if using American A4 paper (278 x 215 mm). All text and figures must fit within this 247 x 15.8 cm (9¾ x 6¼ inch) area.

Outside this area, in the top right-hand corner of every page, put the authors’ names and the page number of the manuscript in Arial 8 point. (This is for reference only and will not appear in the published volume.)

First page

On the first page leave four lines of 12pt blank. On the fifth line type the title of the paper, in upper and lower case text, aligned to the left margin, unjustified, using Arial 18pt bold or similar (as the title shown above).

Then leave two lines of 12pt space. On the next line, using Arial 12 pt aligned to the left margin, unjustified, type the first author’s name in bold, followed on the same line but in plain text by the author’s affiliation, city and country. Repeat for each author, starting each on a new line. After the last author, leave two lines of space. Start the main text on the following line.

Main text

Set the main text fully justified to left and right margins. Start all paragraphs flush left, with one line of space between paragraphs (as on this page). Use single line spacing for paragraphs.

Section headings

  • First-level section headings should be in 14 pt Arial bold, upper and lower case, aligned to the left margin, with one line of space above, no space below, as in these instructions.
  • Second-level headings should be in 12 pt Arial bold, upper and lower case, aligned to the left margin with one line of space above, no space below.
  • Third-level headings should be in 12 pt Arial plain upper and lower case, aligned to the left margin with one line of space above, no space below.
  • Do not number sections.

Figures

All figures must be included within the number of pages allowed and within the text area.

Line illustrations should be embedded directly into the documents. Alternatively, illustrations may be pasted in position onto the top copy printout (ensuring that pasted figures are firmly attached). Lettering on drawings should be a similar size to the main text (to ensure they will be legible after a 22% reduction). The use of tints (shades of black) will not reproduce well. Please use cross hatching or something similar.

Photographs should be scanned at 300 dpi and embedded in position in to the document.

Captions

Captions are required for all figures and tables. Captions should be set as 12 point Arial. Figure captions should appear beneath figures, table captions should appear above tables.

Illustrations and tables must be referred to by number in the text, and identified by their number in the captions.

Mathematics

Equations should be printed clearly in black ink only, using standard conventions and notation, also using a standard font – please use the symbol fonts in Word rather than any other program. When distilling the PDF it is essential that all fonts are embedded.

References, terminology and notations

Any standard reference system may be used. Terminology should be defined. A notation of mathematical terms and symbols should be included where applicable.
